Sustainability
Sustainability, ethical trading & responsible resourcing (Anti-slavery) policy
We understand that the nature of our business means we may be exposed to modern slavery risks across our operations and supply chain. We operate a zero tolerance policy for modern slavery, human trafficking or forced labour and are committed to identifying and addressing these risks across our value chain. We are committed to the UK’s Modern Slavery Act Policy and best practice supplied by the Supply Chain Sustainability School.
Committed to sustainability and our social and environmental responsibilities.
Our business and supply chain
Optyma is a principal provider of integrated security systems. Our expertise in the design, implementation, management and organisational support of security systems is available to clients in the UK and continental Europe.
Optyma’s equipment is purchased through large multi-national companies that manage their commitment under an annual statement (Section 54 of the Modern Slavery Act 2015) or smaller independent service providers.
Optyma will only chose partners in their supply chain who ensure they share our commitment to treating people fairly and protecting the environment. Our supply chain partners must demonstrate they deliver sustainable and responsible services or products ethically.
Ordering Procedure
To reduce waste and meet any change in the client’s project requirement, all equipment to be installed for the client must be ordered to be delivered ‘just in time’. This ensures all materials ordered are installed to the clients requirements, resulting in reduced equipment stock being held. This reduces the risk of overstocking equipment (if the client reduces their operational requirement) that could result in equipment being disposed of as it has become obsolete or not required within our client base and reduces the length of time during which time it could be stolen, lost or damaged.
Escalation Procedure
Where issue relating to any matter can’t be rectified by the site engineer, their supervisor must be contacted. Escalation thereafter should be to the Department Manager, Chief Operations Officer, the Managing Director. Identification of the role holders will be given to the client within the project pre-start pack, Work Package Plan or on request by the client. Where issues relate to sustainability, sustainability or supply chain issues, Optyma’s directly employed Quality, Safety, Health and Environmental lead can also be included at Department Manager Level (Escalation for Projects will be Site engineer/supervisor, Project Manager, Senior Project Manager, Project Director, Chief Operations Officer and Managing Director).
Our Commitment to sustainability and addressing modern slavery
As a responsible organisation, we are committed to addressing modern slavery risks in its operations and supply chain, which includes the adoption of relevant polices and due diligence procedures. We have a robust process that aims to ensure we only work with appropriate suppliers who can meet the standards that we expect; in accordance with the UN Guiding Principles on Business and Human Rights, the Modern Slavery Act 2015 and our supplier code of conduct.
As part of Optyma’s due diligence, we expect every supplier to comply with all applicable laws and regulations and to adhere to Optyma’s Ethical & Environmental Supplier Code of Conduct by completing a pre-selection questionnaire.
Where a supplier risk is highest (companies falling outside the scope of the MSA), the safety officer will assess the questionnaire and authorise the use of the supplier based on satisfactory assurances & testing.
Each supplier must commit to Optyma’s Ethical & Environmental code of conduct when being awarding or renewing business with us and confirm that they conform to this procedure and policy.
Failure to make that commitment will result in the supplier being removed from the approved suppliers list and they may be reported to the National Crime agency.
Optyma will ensure staff are trained on the issues of modern slavery and human trafficking to raise awareness on how they can identify and mitigate modern slavery and human trafficking risks in our operations and supply chain.
Optyma will retain KPIs relating to Modern Slavery and its due diligence measures.
Optyma will and expects its suppliers and sub-contractors to:
Prohibit human trafficking and child or forced labour including modern slavery
Comply with all applicable wage and working regulations
Embrace diversity, fairness and inclusion in their workforce / work place
Support freedom of association in line with local regulations
Act ethically and with integrity and require their employees to do the same
Have robust policies in place that require their employees to adhere to relevant regulations and treat their own employees fairly and ethically
Have the ability to demonstrate robust procedures are in place to be confident that child labour, slavery or human trafficking is excluded from their supply chain
Employ people who are entitled to work in the UK.
